Position Summary: The Assistant Athletic Director supports the Athletic Director in overseeing the school's athletic program. The Assistant Athletic Director serves as the key administrator and point of contact in the absence of the Athletic Director.

This role exists to support and implement the Mission of Magnificat High School.

Major Responsibilities:

  • Serves as an official representative of Magnificat High School at assigned home and away athletic events, maintaining a professional rapport with coaches, athletes, visitors, parents and all those in attendance at sporting events.
  • Responsible for the following duties as assigned by the Athletic Director:
  • Scheduling of contests for specific teams and for all official contests.
  • Developing practice schedules for all teams in accordance with facility availability.
  • Manage all NFHS and OHSAA certification for all coaches.
  • Manage uniform inventory, including design, ordering, distribution and return of all uniform components.
  • In collaboration with Human Resources, facilitate van driver training and use of school vans for athletic purposes.
  • Collaborate with and provide support to the Athletic Director in the following areas:
  • Rental of Magnificat High School athletic facilities, in coordination with the Vice President of Operations.
  • Identifying and addressing transportation needs for team contests and practices.
  • Create and maintain content for the Magnificat High School athletic website, in coordination with the Marketing Department.
  • Develop and distribute information about Magnificat High School athletics through various communication channels, including email, Twitter and other social media platforms, while staying informed about and compliant with the school's social media policies.
  • Reviewing policies and procedures of the Athletic Department, providing recommendations to the Athletic Director for updates as needed, in coordination with the Vice President of Operations.
  • Coordinate the development, organization and distribution of all athletic awards for individuals and teams within the Athletic Department.
  • In collaboration with the Human Resources Department, assist in the onboarding of new coaching staff and provide input into hiring/rehiring decisions of coaching staff.
  • Under general supervision, responsible for the planning, development, execution and supervision of Athletic Summer Camps.
  • Provides administrative support and ongoing updates of Athletic Department software, including but not limited to Final Forms, RefPay, myOHSAA, DynaCal, VNN, Boxout.
  • Assist in the oversight of Athletic Department staff in the absence of the Athletic Director. Remains knowledgeable of workplace policies to effectively provide oversight for the department.
  • Acts as a mentor to coaches and Athletic Department staff.
  • Functions as the facilities manager and event administrator for all home events, as assigned by the Athletic Director.
  • Serve as a liaison between student-athletes, families, faculty, and coaching staff.
  • Support DEIB efforts within athletics to ensure inclusivity, access, and positive representation across all sports programs.

Other Responsibilities

  • Attend parent meetings, award nights, freshmen registration and open houses.
  • Responds appropriately and within one working day to communication from parents, students, administrators and colleagues.
  • Develops cultural competency through increased awareness of one’s own identity, culture and biases.
  • In all areas of responsibility, works to build a respectful, inclusive and collaborative community with students, parents, colleagues and others.
  • Completes other duties as assigned.

Work Environment:

Ability to work extended days, evenings and weekends as needed.

This position involves work both indoors and outdoors in varying climate conditions.

This role routinely uses standard office equipment including but not limited to computers, phones, printers/copiers/scanners. Finger dexterity, visual perception and discernment, ability to sit or stand for prolonged periods, occasional need to bend at the waist or knee or lift/carry heavy objects are necessary to successfully perform the essential functions of the job.

Requirements:

Education:

  • Bachelor’s degree required, bachelor’s degree in education, education administration, sports management, or related field preferred.

Work Experience:

  • Two to three years’ experience in a high school or college athletic department preferred.
  • Previous experience in athletic administration, coaching, event management at a high school or college level preferred.
  • Prior supervisory and/or management experience required.
  • Meaningful experience with administrative functions and responsibilities required.

Knowledge:

  • Proficient in technology and web interfacing. Experience with Final Forms, Microsoft Office Suite, Google and student information software preferred.
  • Strong database management and software scheduling experience required.
